The instructions below show an administrator how to deactivate an All Access Pass Portal user's account if they have left the organization, turning off their access to content on the site.
All Access Pass Portal and Jhana licenses are not transferable, so you may not add a new user to replace one who left the organization. Once an individual fills a pass seat, that seat cannot be used by anyone else. We provide a buffer of 10% of the seats under any contract to account for attrition to help offset employee turnover impacting your license count. If an employee leaves the organization, you may deactivate their All Access Pass Portal and Jhana or All Access Pass Portal-only seat, preventing them from accessing their account in the future. If you would like to deactivate a learner in your pass, please follow the instructions below.
Step-by-step guide
- First, log in and select ADMIN in the upper right-hand side
- Select the USERS & PASSES & TEAMS tile
- Select the PASS tab
- Select the pass and click the expand
symbol next to your pass
- Find the user's name in the pass user list. (Notice the button set to green under the "Activated" column by the user's name; this indicates the user is active in the Pass.)
- Toggle the "Activated" button to gray by clicking on the switch, deactivating the user's account.
| Once deactivated, the user's All Access Pass and Jhana accounts will be deactivated, and they will no longer be able to access content on All Access Pass or login to Jhana. If the user only has an All Access Pass account, they cannot access content on All Access Pass. |
